The basement of your organization

From the time an organization is created it functions as a transitory and influential thing. Some even describe it as an organism with its own way of functioning. As such, its life and times should be chronicled and preserved. This is where Records Management or RM comes in. It is the method which records all the comings and goings of an organization’s life. Records can be of many types, Tangible or digital. For example birth certificates, educational certificates, employment information, genealogy reports, medical x-ray reports , official documents, databases, e-mails, messages, taped records, application data etc. Records management is defined as maintaining the records of the organization by storing, securing, classification and archival presentation of data from their time of creation till the time of destruction.

Contrary to previous belief regarding records management, which was that it is the management of records which are of no practical use any longer but need to be kept in some basement or offsite, the modern day usage refers more to the whole lifecycle of the records, from inception to discarding. In an organization records are managed by a Records Manager. The practice of records management entitles a lot of organized work and diligent approach. It involves planning out the kind of information an organization needs, specifying the types of information that needs to be captured, the laying out of and regulation of policies with respect to records, such as their organization and disposal.
