These were with respect to the data collection part. On the other hand there is the data maintenance part. This involves developing a records storing plan for short and long term housing of data, classifying, identifying and storing records, coordination of access to the records from both inside and outside the organization to strike a balance between the requirements of confidentiality in business, data and public access. One vital step in the method is the execution of a retention policy with regards to the disposal of records which have expired for operational reasons; they may be destroyed or permanently preserved in an archive depending on the organizational policies. Records management principles as well as automated records management systems facilitate the capture, classification and current management of records from their very beginning until their end. A system like that may be implemented in different ways. It may be paper based and rudimentary like library index cards or a computer based electronic records management application software such as SQL.

In today’s world of vast organizations with their multitudinous data, a records management system is a must in each company to maintain detailed, easy-to-retrieve and safe records. Not only does it allow the organization to be more efficient but also to be more organized and to easily refer back to past transactions and keep all data safe from damage and/or unauthorized access.
